For our card printing services, we understand that data confidentiality is critical.

  • Collected only for the purpose of printing and delivering PVC cards as instructed by the customer.
  • Stored securely in restricted systems or devices during the design and printing process.
  • Accessed only by authorized personnel who are bound by confidentiality obligations.
  • Retained only for the duration of the project or as required for verification and support purposes.
    Permanently deleted or securely destroyed once the project is completed, unless otherwise agreed in writing with the customer.

 

4. Disclosure of Personal Data

We may disclose your personal data:

  • To our employees, partners, and third-party service providers who need the data to perform services on our behalf (e.g. logistics, IT support, payment processing).
  • To government authorities or law enforcement agencies when required by law.
  • To our related companies, distributors, or business affiliates for legitimate business purposes.

We will not sell, rent, or trade your personal data to third parties.

 

5. Protection and Retention of Personal Data

We take reasonable administrative, physical, and technical measures to protect your personal data from unauthorized access, disclosure, modification, or loss.

8. Customer Responsibility for Submitted Data

When customers provide personal data to All ID Asia for the purpose of ID card printing or other services, they are deemed to be the data owners of such information.

Customers are responsible for:

  • Ensuring that all personal data submitted to All ID Asia has been lawfully collected.
  • Obtaining the necessary consent from their employees, members, or cardholders for the use of their personal data in ID card printing and related services.
  • Providing accurate, complete, and up-to-date data.

All ID Asia acts solely as a data intermediary under the PDPA when processing such data on behalf of the customer and will handle it strictly in accordance with the customer’s written instructions and this Policy.

 

9. Data Retention and Deletion Policy for PVC Card Printing

All ID Asia retains personal data related to card printing projects only for as long as necessary to fulfill the agreed purpose. Unless otherwise specified in a written agreement:

  • All personal data (including cardholder information, photographs, design files, and print data) except for design templates will be deleted or securely destroyed within 90 days after project completion and customer acceptance.
  • Physical materials such as test prints or unused cards containing personal data will be shredded or destroyed in a controlled manner.
  • Backup files or archived data, if any, are also purged according to our internal data retention schedule.

Customers may request earlier deletion of data by providing written notice to our Data Protection Officer (DPO). Once deletion is confirmed, All ID Asia will not be able to reproduce or reprint the original cards without new data submission.
